Administrative Assistant

Applied Predictive Analytics (APA) will hire its first Administrative Assistant to support the leadership team’s operational and executive needs. This role reports to the Founder and works across scheduling, travel, contract administration, and day-to-day operations. The hire is expected to grow with the company.

What you’ll do.

  • Manage the Founder’s calendar, meeting prep, and travel logistics across utility client, investor, and partner engagements.
  • Own day-to-day operational coordination: vendor communications, contract administration, expense reconciliation, and procurement follow-through.
  • Coordinate internal and external meetings, including agenda preparation, note-taking, and action-item tracking.
  • Handle sensitive client and financial information with discretion appropriate to a company working with utility and government entities.
  • Serve as the operational backbone for a small, high-velocity team — anticipating needs before they’re requested.

What we’re looking for.

  • 2+ years of experience supporting an executive, founder, or senior team in a professional services, technology, or regulated-industry environment.
  • Exceptional written and verbal communication — you draft clean emails, take clear notes, and know when a message needs to go out in 10 minutes versus wait for review.
  • Demonstrated discretion with confidential information, including client data, financial records, and personnel matters.
  • Proficiency with Google Workspace, calendar management tools, and standard business software; comfort learning new tools quickly.
  • Based in or willing to relocate to the Los Angeles metro area; available for in-office days two to three times per week.
